Swif’s Employee Portal is a secure, self-service dashboard that gives employees a one-stop view of their devices, compliance status, available software, and more. This article will walk you through the main sections and features of the Employee Portal so you can get the most out of Swif.
In This Article
1. Accessing the Employee Portal
Navigate to app.swif.ai (or your organization’s custom Swif domain, if applicable).
Log in with your Swif credentials. Depending on your organization’s settings, you may be prompted for Multi-Factor Authentication (MFA).
Once authenticated, you will be taken to the Employee Dashboard if you are an employee user.
Note for Admin Users: If you are an administrator who also has an employee role, you can switch to the Employee Portal via the Portal Switcher in the bottom-left corner of the web app. See the next section for more details.
2. Switching Between Admin Portal and Employee Portal
For users who have both admin and employee roles in Swif, a Portal Switcher is available so you can seamlessly navigate between administrative functions and your personal employee view.
Log in to the Swif web app with your admin credentials.
Click on the Profile Icon (located in the bottom-left corner of the interface by default).
Select Switch to Employee Portal (or Switch to Admin Portal if you’re currently in the Employee Portal).
The interface will reload, taking you to the corresponding portal.
Tip: This is especially helpful if you need to configure organizational settings (admin) and then quickly review the status of your personal device (employee), all in one session.
3. Viewing Device Details & Compliance Status
In the Employee Dashboard, you’ll see cards or tiles summarizing each of your assigned devices:
Device List: This shows your assigned device’s operating system and serial number.
Compliance Status:
Green / “Compliant”: Your device meets all required security and compliance policies.
Yellow / “At Risk”: Your device is missing certain patches or is nearing a compliance deadline (e.g., disk needed to be encrypted).
Red / “Non-Compliant”: Immediate action is required (e.g., important updates are overdue, security configuration is not met).
Tip: If your device is non-compliant, check any alerts in the Alerts or Notifications section to see how to resolve it (e.g., notify your admins to deploy required policies or software patches).
4. Using the Self-Service Software Portal
Swif simplifies how you install and manage software. Instead of contacting IT support, you can download approved apps directly from within the Employee Portal.
For a more detailed guide, check out:
How to Use Swif’s Self-Service Software Portal
Go to the Software or Apps tab in the Employee Portal.
Browse the list of approved applications. You can also use the search function to find what you need.
Click Install (or Request Installation if your organization requires manager approval).
The software will install silently in the background, minimizing disruptions to your workflow.
5. Changing Your Device User Password
Swif offers a secure way to update your device password within the Employee Portal. This approach is beneficial for several reasons:
It centralizes password resets in a single, secure platform protected by MFA.
It reduces confusion or conflict between device credentials and cloud credentials.
It aligns with security best practices, ensuring IT teams can verify and audit password resets.
Customer Quote:
“In a perfect world, we would only want our users to reset the device password using their Swif logins through an agent interface on the computer or through their web login to Swif. This way we may also give them a self-service portal behind MFA.”
Steps to Change Your Device Password
In the Employee Portal, select the device for which you want to change the password.
Go to Accounts and hover over the account that you want to change password.
Click on the Reset Password button.
Enter your new password, complying with your organization’s password policy (e.g., minimum length, special characters).
Confirm your new password and click Save or Update.
Within minutes, your device’s local user password will be updated. You may be prompted to log in again using your newly created password.
Other than the web app version of the employee portal, device users can use the Desktop app to change a local user password.
Note: If you forget your current password, you may need to contact your IT administrator or use the Forgot Password function on your device to restore the password, depending on your organization’s policy.
6. Requesting Hardware from the Hardware Store
If your organization allows hardware purchases through Swif, you can access the Hardware Store from within the Employee Portal:
Go to the Hardware or Store tab.
Browse the list of company-approved devices (e.g., MacBooks, monitors, keyboards).
Click Request Purchase for the item you want.
Depending on your organization’s workflow, you may need a manager or IT approval before the request is fulfilled.
Tip: Check the Status of your hardware request in the Orders or Requests section. If you have questions or need to expedite your request, contact your IT or procurement team.
7. Frequently Asked Questions (FAQ)
Q: What if I can’t log into the Employee Portal?
A: Confirm you have the correct credentials, and ensure MFA (if enabled) is set up properly. If you’re still unable to log in, contact your IT administrator.
Q: How do I know if my device password change was successful?
A: You should receive a confirmation message in the Employee Portal, and you’ll be prompted to sign in on your device using the new password the next time you log in.
Q: Is the Self-Service Software Portal safe to use?
A: Yes. All software listed has been vetted and approved by your IT department, reducing the risk of malware or unlicensed tools.
Q: Can I purchase personal devices from the Hardware Store?
A: This depends on your organization’s policy. Typically, the Hardware Store is for company-approved devices only. If you have questions, contact your IT or procurement team.
Q: As an Admin, do I have to log out before using the Employee Portal?
A: No. If you have both admin and employee permissions, you can switch between portals using the Portal Switcher at the bottom left of the web app.
8. Viewing and Managing Shadow IT Apps
SWIF now offers a Shadow IT page where you can see all the apps you’ve used or accessed through Google SSO, Azure SSO, or the SWIF browser extension. This helps you stay informed about which applications might be outside of your organization’s official toolset.
Accessing the Shadow IT Page
Log in to the Employee Portal.
In the left-hand menu, select Shadow IT.
You’ll be taken to a dashboard that shows every application SWIF has detected based on your recent logins or browsing activity.
Understanding the Shadow IT Dashboard
The Shadow IT dashboard presents key details for each app:
Application: The app’s name and domain (e.g., “Google Chrome,” “Clockify,” “ChatGPT Team”).
Description: Brief information about what the app does or how it’s used.
Permission Level: Shows your access level—“Admin,” “Standard,” or custom permission roles.
Accessed On: Indicates the last date you accessed the application.
Request Access: If the app is restricted, you may see a Request Access button to seek permission from your admin or manager.
Delete: A trash icon may appear if you’re allowed to remove or stop tracking an app.
Common Actions in the Shadow IT Dashboard
Requesting Access:
For any app requiring additional privileges or an admin invitation, click Request Access. This notifies your organization’s admin that you would like to use the app in an official capacity.
Removing Unwanted or Unknown Apps:
If you see an app you no longer use or didn’t recognize, click the Delete (trash) icon. This can help reduce clutter and ensure you’re only tracking relevant applications.
Searching and Filtering:
Use the search bar in the top-right to find a specific application quickly.
Adjust the Items per page dropdown at the bottom to view more or fewer apps at once.
Why Shadow IT Matters
Shadow IT refers to apps or services that aren’t fully vetted or officially sanctioned by your organization. By reviewing this list, you can:
Ensure you’re aware of the tools that have access to your work data.
Confirm you’re operating within security guidelines.
Request the right access levels to apps you need for your job.
Keeping an eye on your Shadow IT apps is a simple way to improve your personal security habits while also supporting your organization’s compliance and data protection efforts.
