This article explains how admins can:
View and filter device activity logs
Mark activity logs as Reviewed, Unreviewed, or Archived
Manually add and edit activity logs
Add and manage notes attached to activity logs
These features are available in the Device Details > Activities tab.
1. Accessing the Activities Tab
In the Swif Admin Console, go to Devices.
Select a device from the list.
Open the Activities tab.
Here you’ll see a table of activity log events for that device, including:
Activity details (what happened)
Performed by (who performed the action, when available)
Status (Unreviewed, Reviewed, or Archived)
Any associated notes
2. Activity Log Status: Unreviewed, Reviewed, Archived
Each activity log entry has a Status that helps with audit and review workflows.
Status Types
Unreviewed
New or pending items that haven’t been acknowledged or processed by an admin.
Typically shown by default in the Activities view.
Reviewed
Items that an admin has looked at and acknowledged.
Indicates that no further review is required.
Archived
Soft-deleted activity logs that are retained for audit history but removed from the active view.
May appear in a dedicated archived view or when filtering by status.
Often shown as read-only placeholders indicating who archived the event and when.
Filtering by Status
Use the Status filter or tabs in the Activities tab to:
Show Unreviewed and Reviewed events (default behavior)
Include or switch to Archived events
Quickly focus on items that still need attention
You’ll also see tooltips such as:
“Reviewed at YYYY-MM-DD by [User]” when hovering over the status or relevant icon, to clarify who reviewed an item and when.
3. Marking Activity Logs as Reviewed, Unreviewed, or Archived
Each activity log entry has an action menu (often represented by a “⋯” / three-dot icon) with options that vary depending on the status of the entry.
Available actions
From the action menu you may see:
Mark as Reviewed
Use when you’ve examined the log and no further review is needed.
Mark as Unreviewed
Use to send an item back into an “needs attention” state, e.g., if more follow‑up is required.
Archive Log
Soft-deletes the activity log from the active list while retaining an audit trail.
Add Note
Opens the note flow described in Section 5.
Archiving an Activity Log
Open the action menu for the activity entry.
Select Archive Log.
Confirm the action in the confirmation modal.
A toast/notification will confirm the archive, and there may be an option to Undo immediately after.
When viewing archived items, you may see a placeholder entry such as:
“This event was deleted by [User] on [Date/Time].”
Archived events are typically read‑only, and visibility may depend on permissions.
4. Manually Adding and Editing Activity Logs
Admins can manually create activity log entries for a device to capture important events that may not be generated automatically by the system.
4.1 Add an Activity Log Manually
In Device Details > Activities, click Add Activity.
In the Add Activity modal:
Performed by
Automatically set to the current admin.
Not typically editable for system consistency.
Date & time
Defaults to the current time, but may be adjustable if you need to record a past event.
Fill out the remaining fields (e.g., description, category, or other fields as available in your UI).
Click Save or Add Activity.
After saving:
The new activity is created with Reviewed status by default (since you are explicitly logging and acknowledging it).
You’ll see a confirmation toast indicating the activity was added successfully.
In the list, the activity will display “Added by [name]” (or similar wording) to indicate it was a manual entry and is editable.
4.2 Editing a Manually Added Activity Log
Only manually created activity logs can be edited.
Find the manual activity log entry in the list.
Open the action menu and select Edit activity (this option shows only for manual entries).
In the Edit Activity modal:
Click Save to apply changes.
A confirmation toast will appear after saving, and the updated details will appear in the Activities list.
5. Adding and Managing Notes on Activity Logs
You can attach notes to individual activity log entries to capture context, internal discussion, or follow‑up actions.
5.1 When Notes Are Available
The Add Note action is accessible from the action menu of each activity log entry.
For Unreviewed activities:
Adding a note will automatically mark the activity as Reviewed.
An info box (inline message) may be shown to indicate that adding a note will mark the item as Reviewed.
5.2 Adding a Note
From the activity’s action menu, select Add Note.
A note input UI (or modal) appears:
Enter the note text (e.g., explanation, investigation results, instructions to teammates).
Save/submit the note.
After saving:
The activity’s status is updated to Reviewed (if it was previously Unreviewed).
A note counter appears next to the Status chip, indicating how many notes are attached.
A toast/notification confirms that the note was added.
5.3 Viewing Notes (Notes Drawer)
To view all notes for an activity:
Click either:
The activity row, or
The note counter next to the Status chip.
This opens a Notes drawer where you can:
See all notes associated with that activity.
View the author and timestamp of each note.
Scroll through the discussion history related to that log entry.
5.4 Editing Notes
Note editing is permissioned:
Only the note’s author can edit their own note.
Other admins can read the note but cannot modify it.
To edit one of your notes:
In the Notes drawer, locate your note.
Select Edit (e.g., via an edit icon or menu).
An Edit Note modal (or inline editor) opens.
Update the note content and save.
Changes are reflected immediately, and a confirmation toast may appear.
Note: Editing a note does not generally change the activity’s Reviewed/Unreviewed status; that transition happens when the first note is added to an Unreviewed item.
6. Error, Loading, and Empty States
The Activities tab includes helpful states for better clarity:
Loading states
Shown while activity logs or notes are being fetched.
Error states
Displayed if the system cannot load or update activity logs or notes (e.g., network or permission issues), often with retry options.
Empty states
If there are no activities for a given filter (e.g., no Unreviewed events), an empty state message clarifies that there’s nothing to show.
These states help distinguish between “no data yet” and “something went wrong” scenarios.
7. Permissions and Audit Considerations
Actions like marking as Reviewed/Unreviewed, archiving, adding/editing activities, and adding/editing notes may be subject to admin role permissions.
Archived events remain part of the audit trail, even though they are removed from the active view.
Activity status changes and note additions help you create a clear review history for each device.
