Feature Overview
This feature enables automatic management of user accounts on devices within a Device Group in the Swif platform. It is designed to streamline onboarding and offboarding, ensuring that device access is tightly controlled and aligned with company policies.
Key Features
1. Automatic User Account Provision
Auto-Provision:
When a device is added to a Device Group, the system automatically creates a new user account for the device owner if one does not already exist on the device.Auto-Deprovision:
When a device is removed from a Device Group, the corresponding user account is automatically deleted from the device if it exists.
2. Standardized User Account Naming
Naming Format:
The user account name is automatically set to the format:
{deviceOwner_firstName}-{companyName}
This format is enforced and cannot be changed by the user, ensuring consistency across all managed devices.Device Name Auto-Renaming Variables:
View the following section for more details.
3. Default Password Management
Password Entry:
When configuring a Device Group, administrators must specify a default password for the automatically created user accounts.Password Validation:
The system validates the default password during Device Group creation or editing to ensure compliance with security requirements.
Device Name Auto-Renaming Variables
When creating or editing a Device Group, you can enable Device Name Auto-Renaming to automatically set device names using a combination of variables. Hyphens are added automatically between variables.
Available Variables:
Variable | Description | Example Output |
| Device owner's first name |
|
| Device owner's last name |
|
| Device owner's email prefix |
|
| Organization name |
|
| Last 6 characters of the device serial number |
|
| Full device serial number |
|
| Device model name |
|
Rename Trigger Options:
On assignment or when joining this group — The device is renamed when it is assigned to a user or added to the group.
If the device has no assigned user:
Keep current computer name — The device name remains unchanged.
Use group name and serial number — The device name is set using the group name and the device's full serial number (e.g.,
MyGroup-Q0473T9WP1).
Duplicate Handling:
Enable "Add unique suffix on duplicate" to automatically append a numeric suffix (e.g., -2) when two devices would otherwise receive the same name.
Practical Use Cases
Employee Onboarding/Offboarding:
When an employee joins, their work account is automatically created on their assigned device. When they leave, the account (and all associated data and licenses) is removed, leaving the device otherwise unaffected.Pre-Provisioning Devices:
Devices can be pre-configured with user accounts, software, and policies before being handed to users, regardless of whether the device was purchased through Swif or another vendor.
