Generating reports on employees' application accesses
Updated over a week ago

This guide will walk you through how to generate reports on your employees' application accesses using Swif. You can obtain these reports either filtered by application or by user. Follow the steps below to get started.

Let's first explore how to generate a report

Step 1: Navigate to the app management tab in the left menu.

Step 2: Click on the access report option.

Step 3: This tab displays all your accounts across employees, apps, and accounts. It provides information such as the number of applications and active accounts. The data can be filtered by application.

Step 4: Alternatively, you can filter the data by user.

Let's first explore how to generate a report filtered by application

Step 1: Choose the by application filter.

Step 2: In the table, you will find the application logo, name, description, number of active accounts, and access type.

Pay attention to the access type column, as it determines whether you need to take additional steps for integration. For automated integration, you can add your employees to the application directly through the integration tab. For manual or custom access types, you will also need to add your employees directly in the respective product.

Now, let's proceed to generating the actual report. Suppose you want a report on employee accesses for HubSpot and Google Workspace. Simply select these two products.

Step 3: Click on the download CSV button located at the top right corner.

That's it! You have successfully generated a report for the selected products and all your employees.

Step 4: If you wish to generate a report for specific products and employees, follow these next steps.

Click on the desired product → Select the relevant employees on the left side and click on download CSV. This report will provide a more summarized view.

To deactivate individual users, click on the deactivate button in their respective rows. For deactivating multiple users, select the checkboxes and click on deactivate button at the top.

Now, let's see how to generate a report filtered by user

Step 1: If you prefer to generate reports filtered by user, go to the by user tab.

Step 2: Choose the users for whom you want to generate reports.

Step 3: Once you have made your selections, click on download CSV to obtain the report for the selected users.

By following these steps, you can easily generate employee access reports for all the applications they are using, either filtered by application or by user. Thank you for using Swifteam! Have a great day.
