Using AI Device Search, Saved Filters, and Hardware Telemetry in Swif

Swif provides administrators with powerful tools to discover, filter, and audit devices across your entire fleet. With AI Device Search, Saved Filters, Enhanced Telemetry Reporting, and Missing Recovery Key Auditing, managing device inventory and compliance is faster and more intuitive.

1. Searching Device Inventory with AI

AI Device Search allows you to search your fleet using plain, natural language queries instead of manually toggling multiple filter menus.

How to Use AI Device Search

  1. In the Swif Admin Console, navigate to Device Management > Device Inventory.

  2. Select the relevant device tab (e.g., Computers).

  3. Click the AI Search icon (sparkle icon) beside the search toolbar to open the natural language search bar.

  4. Type your query in plain English and click Search or press Enter.

  5. Swif automatically parses your prompt into structured, read-only criteria tags (e.g., OS: Windows 11, RAM: 16 GB, Recovery key: missing) and displays matching devices.

Example Prompt: "Find devices running Windows 11 with 16 GB of RAM that are missing a recovery key."

Prompt Suggestions and Validation

  • Suggested Search Chips: If you aren't sure where to start, click any suggested prompt chip below the search bar to run an instant query.

  • Search Revisions: If a query cannot be parsed, Swif preserves your original text and provides suggestions to help you refine your criteria.

  • Exiting AI Search: Click Close (✕) to return to the standard table toolbar at any time.

2. Saving and Managing Custom Filters

Save your most frequent search criteria as reusable filters to streamline ongoing fleet monitoring and compliance checks.

Saving an AI Search as a Filter

  1. Run a query using AI Device Search.

  2. Click Save Filter located next to the interpreted criteria chips.

  3. In the modal, review the criteria and enter a descriptive Filter Name (e.g., “Windows 11 Missing Recovery Keys”).

  4. Click Save. A confirmation toast will notify you that the filter is ready to use.

Applying Saved Filters

  1. Click the Saved Filters dropdown located beside the standard Filter button.

  2. Select your desired saved filter to instantly update the inventory table.

  3. Active View Strip: The active filter appears above the table with the format:
    Saved Filter: [Filter Name] · [X] criteria

  4. Hover Tooltip: Hover over the filter tag to view the full list of applied criteria.

  5. Combining Filters: You can apply additional manual filters on top of any active saved filter.

Managing and Deleting Saved Filters

  1. Open the Saved Filters dropdown and select Managed Saved Filters.

  2. Review the list of your organization’s saved filters and their criteria summaries.

  3. To remove a filter, click Delete and confirm the prompt.

  4. 10-Minute Undo Window: If you delete a filter by accident, click Undo on the success notification toast to immediately restore it.

3. Advanced Hardware Telemetry (CPU & GPU)

Swif tracks detailed hardware specifications across supported macOS, Windows, and Linux devices. You can filter your inventory directly by these attributes or include them in automated inventory exports.

Filtering by Hardware Specs

  1. Click the standard Filter button on the Device Inventory table.

  2. Expand the CPU or GPU sections.

  3. Select your target hardware specifications (e.g., filter for devices with fewer than 8 cores or specific GPU models).

  4. Apply the filter to view devices matching your hardware requirements.

4. Identifying Devices Missing Recovery Keys

To maintain strict compliance and disaster recovery readiness, Swif enables one-click filtering for devices lacking an escrowed disk encryption recovery key (FileVault / BitLocker).

How to Identify At-Risk Devices:

  1. Via AI Search: Enter "devices missing recovery key" or "non-compliant laptops without recovery key" into the AI Search bar.

  2. Via Manual Filter: In the Filter menu, select Encryption > Missing Recovery Key: True.

  3. Remediation: Select the affected devices to trigger re-escrow policies or notify the assigned users.

Tips & Best Practices

  • Natural Language Flexibility: You can combine OS, hardware specs, assignment, compliance, and encryption status in a single prompt (e.g., "macOS enrolled laptops with 16GB RAM assigned to Engineering").

  • Team-Shared Filters: Saved filters are accessible to all administrators in your workspace, ensuring standard auditing views across your IT and security teams.

  • Reporting: Saved hardware and telemetry criteria can be leveraged in Generate Report to produce detailed audit spreadsheets.
