Apple Spotlight Privacy Policy

Overview

The Apple Spotlight Privacy Policy lets you manage how macOS Spotlight uses the internet and shares search data on managed Macs. With this policy, you can:

  • Disable internet-backed Spotlight results and related content

  • Opt out of sharing Spotlight search queries with Apple

This helps reduce data leakage, improve privacy, and keep corporate devices aligned with your organization’s security standards.


Supported platforms and requirements

  • Platforms: macOS

  • Minimum OS version:

    • Policy overall: macOS 15.0+

    • Show Related Content: macOS 10.11+

    • Help Apple Improve Search: macOS 15.0+

The policy is enforced via Apple MDM configuration profiles and applies to managed macOS devices in your Swif deployment.


What this policy controls

The policy exposes two toggles in the Swif admin UI:

  1. Show Related Content

    • Field name: allowSpotlightInternetResults

    • Default: Disabled (false)

    • Supported: macOS 10.11+

    • What it does:

      • When Disabled (false), Spotlight does not show:

        • Web results

        • App suggestions from the internet

        • Other internet-backed “related content” in search

      • When Enabled (true), Spotlight can use internet results and related content as allowed by macOS.

  2. Help Apple Improve Search

    • Field name: helpAppleImproveSearch

    • Default: Disabled (false)

    • Supported: macOS 15.0+

    • What it does:

      • When Disabled (false), the device opts out of sharing Spotlight search queries with Apple for analysis.

      • When Enabled (true), macOS may share anonymized Spotlight search data with Apple to improve search quality.

Both settings are enforced via MDM. On a managed device, users may see the toggles in System Settings → Siri & Spotlight / Spotlight, but they are either locked or reverted according to the applied policy.


Why you might use this policy

This policy is especially useful if you:

  • Need to prevent search queries from being sent to Apple for privacy, compliance, or data residency reasons.

  • Want to limit internet exposure from Spotlight on sensitive or highly regulated devices.


Configuration options

In the Swif admin console, when you create or edit an Apple Spotlight Privacy Policy, you’ll see:

Show Related Content (allowSpotlightInternetResults)

  • Type: Boolean (On / Off)

  • Default: Off (Disabled)

  • Recommended setting for high‑security environments: Disabled

  • Effect on the device:

    • Disabled:

      • Spotlight searches show only local results (apps, files, system items) as allowed by macOS.

      • Internet-backed suggestions and “related content” are turned off.

    • Enabled:

      • Spotlight may show web results and other online suggestions.

Help Apple Improve Search (helpAppleImproveSearch)

  • Type: Boolean (On / Off)

  • Default: Off (Disabled)

  • Recommended setting for high‑security or privacy‑sensitive environments: Disabled

  • Effect on the device:

    • Disabled:

      • The Mac is opted out of sharing Spotlight search queries with Apple.

    • Enabled:

      • The Mac may share Spotlight usage/queries with Apple to improve search.


How the policy behaves on devices

When the policy is applied to a managed Mac:

  1. The device receives an MDM configuration profile with the configured Spotlight privacy settings.

  2. Spotlight reads those settings from the managed profile.

  3. The corresponding toggles in System Settings → Spotlight are updated to reflect the managed state.

  4. If a user tries to change these settings locally:

    • The UI may be locked, or

    • The system will re-apply the policy value, depending on how Apple exposes the control.

This ensures consistent enforcement across all devices in scope.


Example use cases

  • Strict privacy posture:
    Disable both Show Related Content and Help Apple Improve Search across all corporate Macs to ensure Spotlight searches remain local and are not shared externally.

  • Balanced usability and privacy:
    Allow Show Related Content (for productivity) but keep Help Apple Improve Search disabled to prevent search query sharing with Apple.
